What Google advises for negative reviews

Never write

A structure that works

  1. Name and thanks, one line.
  2. The specific problem, in their words.
  3. What you did or will do, or the honest limit.
  4. A direct contact to sort it out, and your name.

Review (1★, slow service): Waited 50 minutes for two pizzas on Saturday and nobody told us why. Never again.

Example reply:
Hi Laura, thank you for telling us. A 50-minute wait without an update is not acceptable, and I'm sorry. On Saturday our oven failed mid-service and we did not warn tables, which we should have done. We now tell guests at ordering if there's a delay. If you'd like to give us another try, ask for me directly.

Review (1★, rude staff): The receptionist was rude and rolled her eyes when I asked about the price.

Example reply:
Hi Sam, I'm sorry your visit started like that. Everyone should get a clear, friendly answer about prices. I've talked to the team about it. If you're willing, please call me on the clinic number so I can hear exactly what happened.

Review (1★, price you stand by): Way too expensive for a basic boiler service.

Example reply:
Hi Peter, thanks for the feedback. Our service price includes the flue gas test and the written safety record, which some quotes leave out. I understand it can still feel high, and we list all prices on our website before booking so there are no surprises.

Review (1★, outside your control): Delivery came cold and an hour late.

Example reply:
Hi Chris, sorry your food arrived cold. Delivery on that order was handled by the delivery app's courier, so we can't see the route, but we'd like to make it right. Please message us with the order number and we'll sort it out.

FAQ

Should I reply to every 1-star review?

Google lists replying to reviews among its tips and suggests focusing on reviews where you can share a helpful update or answer a question, instead of the same thank-you everywhere.

How long until my reply shows?

Google says replies usually take up to 10 minutes to review, but sometimes up to 30 days.

Can I offer a discount if they delete the review?

No. Google forbids offering incentives for the revision or removal of a negative review, and removes content posted after such a request.
